Client Onboarding

Step-by-step guide for onboarding a new client into Gridlink.

1. Create the Client

  • Go to Clients > + Add Client
  • Enter the client name
  • Select applicable Capabilities (Digital Marketing, AI Advisory, MSP)
  • If Digital Marketing is selected, optionally link a GHL location
  • Add any notes
  • Click Create
  • The system assigns a gridlink-client-XXXXXX ID automatically.

    2. Add Client Employees

  • On the client detail page, click + Add Employee
  • Enter first name, last name, email, phone
  • Check "Set as main contact" for the primary point of contact
  • If the employee exists in GHL, use the Link to GHL user dropdown to associate them
  • Each employee gets a gridlink-person-XXXXXX ID.

    3. Configure Capabilities

    Each capability assigned to a client may have its own configuration.

    Digital Marketing

    Digital Marketing clients use GoHighLevel (GHL) as the execution platform. Gridlink syncs data from GHL for reporting, enrichment, and cross-team visibility.

    Required setup:

  • GHL Sub-Account Link — In the Digital Marketing capability section, enter or select the GHL location ID to link the client to their GHL sub-account.
  • Location API Key — This is required for Gridlink to sync contacts, opportunities, campaigns, and other data from GHL.
  • - Log into GoHighLevel

    - Switch to the client’s sub-account

    - Go to Settings > Business Profile (or Settings > Company)

    - Find the API Key section and copy the key

    - Paste it into the Location API Key field in the client’s Digital Marketing section in Gridlink

    - Click Test to verify it works

    - Once saved, Gridlink will sync data at the configured interval (default: every 15 minutes)

    What syncs from GHL:

  • Contacts (leads/prospects)
  • Opportunities (deals/pipeline)
  • Pipelines and stages
  • Campaigns (drip sequences)
  • Calendars and appointments
  • Tags
  • All synced data is read-only — Gridlink never writes back to GHL.

    4. Log Initial Activity

    After onboarding, log the initial interaction:

  • On the client detail page, click + Log Activity
  • Select type (typically "Meeting" or "Call")
  • Summarize the onboarding conversation
  • This creates the first entry in the client’s activity timeline
  • 5. Verify

  • Client appears in the client list
  • Correct capabilities assigned
  • Main contact set
  • GHL location linked (if Digital Marketing)
  • Location API key entered and tested (if Digital Marketing)
  • Initial activity logged
